Dear AMICOs, We are about to enter a period of heavy promotion of the AMICO Library, building up to the public subscription availability in July 1999. We'll be "coming out" at a number of conferences this winter, where RLG will be demonstrating the AMICO Library in their booth. Let's assure that the AMICO Library is in the best possible form for the following conferences:
Potential subscribers will evaluate the AMICO Library: the content of the library and the quality of representation. Library Content Library profileWe are now developing a profile of the AMICO Library for the 1999 year. Each member has been asked to provide an outline of the contribution they will make in 1999. As you develop this list, please remember how critical "content" is to the AMICO Library, and try to exceed the 500 work minimum contribution. If there are areas of depth or concentration in your contribution, please highlight them for us, so we can call these out for potential subscribers. Your profile is now overdue. We must have this by December 31, 1998 in order to meet our commitments for publicity material for the conferences noted above. Sample workEach AMICO Member has been asked to identify a particular work of art that can be used for public relations purposes. We'll put this work on the web site, use it in demonstrations, and make it available to RLG to use in "demo" versions of their delivery of the Library. So please, make sure this is a work without rights issues. If you have not already done so (thanks!) please name this work by December 31, 1998. It is also critical for publicity materials. Full Multimedia RecordsEach AMICO Member has agreed to submit two fully documented works with additional associated multimedia. These richly documented records were originally due in November. To have them ready for the conferences outlined above, we must have these by January 8, 1999. Data QualityStandardized values in fields and accurate data entry are key the library being perceived as useful. The AMICO online editing tools, including the term occurrence analyzer, have been designed to help make the process of cleaning up your data easier. Please review your AMICO contribution, and correct any errors in data by January 22, 1999. Corrections received by that date will be present in the Library as demonstrated at ALA, CAA and VRA.. Regular UpdatesTo help us standardize the Library, RLG has agreed to accept weekly updates to catalog records. These will be sent to RLG every Friday between now and March 31st. Updates will include all validated records, corrected online using the editing form, or resubmitted as a file. Term Occurrences
We will not be correcting images in the 1998 Library, except in very unusual circumstances. Please submit any new image files with your 1999 contribution. New RecordsYour 1999 contribution to the Library is due in fully validated form by February 28, 1999. This is a FIRM deadline, and production schedules at RLG are keyed to it. Online validation tools will be available for you to test your contributions beginning in January 4, 1999. Process Evaluation FormsOne final note. We've circulated a process evaluation form, so that you can give us feedback on what was involved in making your AMICO Contribution. Please take the time to return this to us. It is important that we build our knowledge of the investment museums make in creating their documentation, so that we can communicate its value to academic subscribers. Laura will be in touch with all AMICO members' principal contacts about this, and will be tracking the return of the various items noted above. Thank you all very much for your hard work.
