We are now very close to the release of the AMICO University Testbed Preview site on July 6, 1998 -- one of the largest collections of digital museum documentation offered anywhere in the world. In preparation, we've been asking for a number of pieces of information from you, and for the return of certain documents. We'd like to summarize in this message.

To enable access to the AMICO University Testbed, you need to:

1. Return a signed copy of RLG Service Agreement

Each of these items is explained further below.

1. RLG SERVICE AGREEMENT

RLG apologizes for confusion engendered by their mailing dated June 22, which included the RLG Service Agreement, Exhibit C to the Service Agreement [Special Service Terms for the AMICO Library Testbed Participants], the "Rates for User Services" publication, a Search Block Order Form, and Online Resources Subscription Order Form, and a cover letter.

Exhibit C, "Special Service Terms for the AMICO Library Testbed Participants" is defective. This will be redrafted next week. A revised version will then be (a) posted to the AMICO website, and (b) sent to you by mail.

The "Rates for User Services" booklet and the Order Forms are irrelevant unless you wish to order RLG services in addition to the AMICO testbed. If all you wish at this time is access to the AMICO testbed, you may disregard or discard these documents.

The "RLG Service Agreement" is a general purpose agreement to be signed by any institution receiving services of any kind from RLG. Please continue your review of this document with a view to having it duly signed and returned to RLG as soon as possible.

2. TECHNICAL CONTACT DETAILS

RLG needs a single point of contact for technical liaison. With a letter on June 23rd received a form asking for these. You MUST name a technical contact.

Security for the AMICO Library Preview is available initially in two ways: Through IP address authenticiation, or usernames and passwords. If you wish to enable access to the library from specific computers with fixed IP addresses please provide this list to RLG. This is optional.

RLG will also supply passwords for access to the AMICO Library. If you do not provide RLG with a list of IP addresses, passwords will be your ONLY point of access.

3. AMICO MEMBERSHIP AGREEMENT

Your membership agreement provides AMICO with the right to include works from your collection in the AMICO library. We must have it in hand in order to release the Library to the waiting universities. If you have any questions about the agreement, which was mailed to each AMICO Members Director several weeks ago, please feel free to contact Jennifer or David at (412) 683-9775, or by email to jtrant@amico.org or dbear@amico.org

4. AMICO LIBRARY MUSEUM AGREEMENT

This agreement gives you access to the entire AMICO Library for use in your educational programs. This document was also mailed to your Directors Office. You can find the text on the AMICO Members Web site at http://www.members.amico.org/docs/muse.final.html

A NOTE ABOUT FEES

There is no charge to AMICO Members to access the AMICO Library. The RLG Schedule of Fees was sent to you in case you were interested in subscribing to any other RLG services.

DEADLINES AND INTERIM STRATEGIES

THANK YOU very much to those of you who have already returned some or all of these documents.

The paperwork has taken longer than anticipated to assemble on our end. But we don't want to delay access to the AMICO Library Preview, because we are so late in getting these documents together.

If you cannot sign and return the required documents immediately, please send us a "letter of intent to execute the necessary agreements". In it, please tell us that you do intend to execute the documents, and indicate who will review and/or sign these on behalf of your institution. This letter can be faxed to AMICO at (412) 683-7366.

With a letter of intent in hand, we can enable access to the preview.

TESTBED ACCESS

RLG plans to launch the "Preview" of the AMICO Library on Monday July 6th. This limited view of the AMICO Library will enable you to see what it contains, and develop plans for its use in the coming year. It will also contain incremental releases of functionality. We are very interested in getting your feedback on the operation and design of the delivery system as it evolves. Please post questions and comments about the Preview to the online discussion of Library Structure and Distribution at:

RLG will contact each institution directly with usernames and passwords.

FUTURE ACTIVITIES

We're very excited by the way that the AMICO Testbed is coming together. AMICO Members have made tremendous progress in the last year! We're looking forward to working with you over the next year, to explore the many research questions still to be answered about using digital cultural heritage documentation in higher education. Since we are such a dispersed and disparate group, we'll try and use the AMICO Web Site, and the AMICO University Testbed web site to communicate as much as possible. That way, we'll at least have a 'virtual center' for our activities. If there are things that you would like to see added, or documents that you would like to post, please suggest them.

Thank you all for your patience as we ramp up. We're hoping that as you begin to use the AMICO Library you'll agree that the growing pains are a minor part of our exploration of new ways to deliver digital museum documentation for education.
